HubSpot Improves Multi-Team User Management

When onboarding teams into HubSpot, one limitation came up surprisingly often: users could belong to multiple teams, but many routing and assignment mechanisms still relied mainly on the user’s primary team.

HubSpot is now addressing that limitation with a new private beta that allows users to become fully functional members of multiple teams.

Why this matters

In many organizations, especially matrixed or regional structures, users naturally belong to several teams at once.

Examples include:

  • regional sales teams
  • language-based support teams
  • overlay specialists
  • customer success managers supporting multiple business units

Until now, secondary team memberships often created hidden operational friction. Because only the primary team was fully considered in many assignment scenarios, teams regularly encountered issues such as:

  • lead rotation excluding some users
  • workflows not assigning records as expected
  • inconsistent routing behavior
  • duplicated assignment logic and workarounds

Why team structure matters more than people think

In HubSpot, teams are not just an organizational layer. They also influence:

  • record visibility and permissions
  • lead and ticket assignment
  • workflow logic
  • reporting structures
  • ownership-based automation

That’s why limitations around primary vs secondary teams often became problematic in larger organizations with more complex operational structures.

What changes with this update

With this beta, users can now operate as fully functional members across multiple teams instead of relying on a single primary team structure.

This simplifies:

  • lead assignment logic
  • workflow-based routing
  • regional or matrixed team structures
  • operational governance inside HubSpot

For RevOps and SalesOps teams, this removes a layer of complexity that was often difficult to troubleshoot later.

Recommended next step

If you are participating in the beta, it is worth reviewing your current team structure and user assignments.

In particular:

  • verify which users belong to multiple operational teams
  • review workflow routing logic
  • validate lead rotation behavior
  • identify workaround automations that may no longer be necessary

Availability

The feature is currently available as a private beta for Professional and Enterprise accounts.
